How do I use the Guestbook?

Your Guestbook shows you all guests who've been invited, registered, signed-in, and signed-out. If a user has permissions to see the Guestbook, it will be the first page they see. This article outlines the basic features available from this page.

Basic Features

Viewing Records: The Guestbook shows up to fifty records at a time. Each record shows basic information such as their personal details, location, host, and company. To view more details about a specific guest, click on their name and an additional panel will open with more information.

Search: You can search for guests using their name, email address, or company.

New visitor: The New Visitor button allows you to create a sign-in record directly from the web portal. You can only enter basic information such as name, email, company, mobile phone, location, and hosts.

Refresh Button: To update your guestbook to show new records, click the refresh button on the right-hand side.

To view additional details and add notes to a guest, click their name to open a side-panel.

In addition to performing actions, such as sign-out and print badge, you can access three tabs:

  • Details: Displays all information captured within the sign-in or invite record.

  • Notes: Allows you to add a note or track an item, depending on the record type.

  • Activity: Summarizes key events, such as invite, registration, sign-out, and sign-in logs. These events are linked via the visitor's unique email address.


If you've created an entry in the 'Items to be returned' section of a guest note, you can search for it if it hasn't been marked as returned. For more info on guest notes, check out THIS article.


Acknowledged Banner

The acknowledge banner will appear on a visitor's record when a host has received an email notification and clicked on the "acknowledge" button in the email (For more info on building email templates, check out THIS article.)

It simply acts as a visual indicator for your receptionists/security to know that a host has received the email. It is visible after clicking a visitor's name from the guestbook.

Visit Type Filter

Guestbook records are separated by Sign In and Invites Visit types. Click the dropdown box in the top-left corner to switch between the two.

Additionally, each visit type can be further filtered down by their status. Click the Status dropdown box near the top of the page to select your statuses.

When viewing Signins visit types, you can view visitors with a Signed-in and Signed-Out status.

When viewing Invites visit types, you can view visitors with an Invited and Registered status. Registered means that the visitor has completed the registration portal.

The other two filters available directly from the main guestbook are the Date range and Location filters. By default, the date range encompasses the past 7 days, but you can change the range to your liking.

When filtering locations, simply select the checkbox next to all locations you'd like to include in your guestbook.

More Filters

The More Filters button on the right side of the page gives you access to additional filter options. Currently, this includes:

  • Watchlist: Choose between the four watchlist colors, the safe list, or no match.

  • Hosts: Filter your guestbook by the name of one or more hosts.

  • Approval Status: Approval, Pending, or Rejected

  • Signin Type: Visitor/Employee - Only relevant if you are using the Companion App. Users who sign-in through the Companion App are considered Employee sign-ins.

Actions

You can perform two actions on your guestbook records: Sign Out and Print Badge.

The simplest way to perform an action is to click the actions dropdown button on the right-hand side of a person's guestbook record. Additionally, you can perform actions after clicking any visitor's name.

Bulk Actions

Additionally, you can select multiple records at once to perform a bulk action:

1. Click on the checkbox to the left of each visit record you'd like to action on.
2. Click the actions button on the top-left side of the page.
3. Select Sign Out or Print Badge.

Rollcall View

The Rollcall View allows you see onsite visitors, mark them as accounted for, and send an immediate bulk notification.

From the top-left section of the Guestbook, click the Rollcall button to access the new page.

At the top, choose which locations will be captured in your rollcall view. You will only see visitors who are currently signed-in.

To the right of each sign-in record, you can mark each person as accounted for using the checkbox. A green checkmark will appear that can be toggled on and off.

To send mass notifications, click the Broadcast button near the top of the page. This is discussed further in the section below.

To exit the rollcall view and return to the default Guestbook view, click the End Rollcall button.

The Broadcast Button

To send an immediate notification to your signed-in visitors:

1. Click the Broadcast button near the top-left side of the Guestbook.
2. Choose the locations that the notification will apply to (i.e. Visitors currently signed-in at your selected locations)
3. Choose whether to send an Email, SMS, or both. The notifications will be sent to the visitor details associated with their current sign-in records.
4. Enter the subject and/or body of your selected notification method.
5. Click Send notifications to immediately trigger your message.

New Vistor (Create A Sign-In From The Guestbook)

To create a new sign-in record from the Guestbook, click the New visitor button in the top-right corner. This allows you to sign-in a new guest manually if they are unable to use the iPad.

A manual sign-in can include these details:

  • Name, Email, Company, Mobile Phone

  • Location

  • Hosts

You can also perform these actions:

  • Notify Host

  • Notify Guest

  • Print Badge

NOTE: More custom fields, like you'd create on a form page or in a custom invite cannot be added manually.

Export CSV

The Export button allows you to send a CSV spreadsheet containing your Guestbook data. For more information, check out THIS article.
