The Guestbook allows you to view and write internal notes about your guests.
Whether it is a visitor preference you wish to track, an loaned access cared ID, or even the reason they are watchlisted, notes provide a way to add details that are not otherwise captured during the sign-in process.
The sections below include:
Creating and Viewing Guestbook Notes
To create a note from the Guestbook:
Click your visitor's name.
Select the Notes tab.
Enter a note and hit save.
The note will be visible under that guest's record and will also remain on any future records containing the same email address. The guest's email address serves as the unique identifier for the visitor record moving forward.
Item To Be Returned Feature
The Item To Be Returned Feature allows you to input any text or numbers that help you track an item or ID number. For example, if you hand out badges with ID numbers assigned, you can type the number directly into the Item To Be Return field.
When the badge/item is then returned, you can toggle on the Returned button.
Additionally, items are also tracked in columns within the CSV export. They are marked under Returnable Item and Item Returned. If returned, the column will say TRUE.
Invite Notes
When your Guestbook is filtered to show the Invites Visit Type, you will see any internal invite notes added during the Invite process from the main Guestbook view.
In this case, when you open the Notes panel, you will be able to view/add an Invite Note and Personal Note. After the visitor signs-in, only the Personal Note will be visible from the main Guestbook view.
