The QR Code scanning feature allows your guests to scan a QR code which will auto-fill their information on the iPad when they arrive onsite. Visitor Management has two different kinds of QR codes:

  • Kiosk QR Code: Can be added directly to invite emails and printed on badges. Can then be scanned on an About You Page, Form Page, or Summary Page on the iPad.

  • ZeroTouch QR Code: Can be sent to visitors after they complete the registration experience at home or on their phone. This can then be scanned on the Welcome Page of the app to complete a touchless sign-in experience.

This knowledge article will discuss where you can enable QR code scanning in the kiosk and common issues which prevent successful QR code scans.

Common issues that prevent the iPad’s camera from Reading a QR Code

In some cases, the iPad’s camera may struggle to read the QR code. A few common reasons for this are:

  • The QR code is too small: The size of the QR code on an invite email or badge is determined in the invite template editor or badge editor. Test out the desired size before sending them to your visitors.

  • The QR code is too close or far from the camera: Try holding the QR code a foot away from the iPad and then slowly moving it closer until it scans.

  • The QR code is out of focus or crooked: The surface of a mobile phone or a printed QR code may be dirty/cracked or crooked.

  • The QR code is tilted: The QR code needs to be parallel to the surface of the iPad.

  • The camera on the iPad is dirty.

  • Insufficient lighting: If the brightness of your guest’s phone screen is too low, the iPad's camera may not be able to detect the QR code and scan. In the case of scanning a QR code from a badge, if the area around the iPad is too dim, this may also affect how the camera on the iPad detects the QR code.

Here are common scenarios that triggers this message:

  • QR code is scanned outside valid invite window: Each ZeroTouch QR is attached to a specific meeting at a specific time. You can only scan a ZeroTouch QR code within this valid invite window, with a 30 minute grace period before the start of a meeting.

    • Meeting rescheduled to a time outside the invite window: If a meeting is rescheduled to a later time, the same rule applies. You can only scan the ZeroTouch QR code during the valid invite window, with a 30 minute grace period before the start of a meeting.

  • ZeroTouch QR code is scanned after the meeting time has passed

  • Meeting assigned to the ZeroTouch QR code is cancelled: If the invite no longer exists, this QR code will be marked as invalid.

  • QR code is scanned into a different location than assigned: Each ZeroTouch QR code is location specific. If your guest scans the QR code at a location other than the location they are invited to, this error will show up.

Unless the In & Out Privileges setting is on in your location, each QR code can only be scanned once. If the ZeroTouch QR codes your guests receive only allow one time entry for a specific meeting, they’ll see this error when trying to scan it more than once.
