How Do I Create an Invite for Upcoming Guests?

Sign In Enterprise allows you to invite an individual or group of people to a location. By filling in their name, e-mail address, and company beforehand, they will be able to enter a few characters of their e-mail address and have the details auto-filled on arrival. As well, you can send them an invite e-mail with specific details of their upcoming visit.

Additionally, invite emails allow you to send invitees a link to our Registration Portal, which allows them to fill-in their own details beforehand on their computer or mobile device. They can then scan a QR code touchlessly on the iPad, which greatly speeds up the process. For instructions on creating a Registration Experience, check out our knowledge article HERE.

Creating Individual InvitesTo invite a guest, open a location, then click the Invites tab from the top menu-bar. From here you can invite guests using the Create Invite button.

The mandatory fields are first and last name, email, start date, and start time. If you do not add an end date/time, the invite will be set to a default range after your start time.

NOTE: If no host is selected, SIE will automatically add a host if one shares the same email address of the user creating the invite.

To send an invite email, click the Send Notification Immediately box and select an email template.

Viewing Invite Records

Invite records are visible within the INVITES tab. You can also search for a specific guest by clicking on the magnifying glass icon and typing all or part of their name.

You also have the option of sending an invite email to the list of existing invitees This is handy if you need to send emails to multiple guests at once or if you did not send a notification when you first created invite record.

To send an email to selected guests, click on the checkbox next to left of their names. You can then click the Actions button in the top-left corner to bring up the settings for those records, including Edit Invite and Send Invitations.

To send a mass invite notification to all selected visitors, click Send notification, then fill-in the prompts. Ensure that you've selected the proper Invite Email Template to send out.

Adding Multiple Invites via CSV

You can also upload a bulk list of invited guests into a location using a CSV spreadsheet.

To download our Invites CSV template:

1. Click into a Location, then select the INVITES tab.
2. Click the More actions dropdown menu on the right-hand side. Then, click Upload invites (CSV).
3. Click Download CSV Template.

Below is an example of the template with the possible fields filled in. The mandatory fields are first_name, last_name, email, and start_date, end_date, start_time, and end_time.




The date format that you use for the start_date and end_date fields must match the date format you choose when uploading the template back into SIE.

After filling out your CSV, head back into the Invites section of SIE. Select your CSV file, then ensure the Date Format selection matches the format within your CSV. Then, click the Upload invites (CSV) button.

SIE will verify the data in your upload. You may get two possible alerts based on your entries: Warnings and Errors.

  • Warnings: These will not prevent the invites from being uploaded, but you may want to fix them for accuracy. Most commonly, a warning will pop up if your invite start date is in the past.

  • Errors: These will show entries that are preventing the entire upload from being completed. A common example is a missing mandatory field or non-valid email address format. You must fix the CSV and re-upload before trying again.

Once validated, click Confirm Upload to complete the process.

In addition to the headers provided in the CSV, you can optionally add your visitor's mobile number as well as their chosen host. To do so, you must add these headers into the CSV exactly as written (this is case sensitive):

  • hosts

  • mobile

To add a host, simply enter your host's exact email address in the corresponding row. To add a mobile number, make sure to add a '+' followed by your guest's phone country code before the mobile number itself. For example, a US number would like this: +18552159508

In addition to Invites section from the locations page, you can quickly create an invite using the Invite a Guest button at the top-right hand corner

If you’re having trouble finding your email invite, here are a few initial items to check:

  • Check your Spam (Gmail) or Junk (Outlook) folder

  • Check with your IT (as applicable) to see if the email address from which the invite was sent, is being blocked and/or needs whitelisting. Unless you are using a custom email domain, these include:

  • Search keywords from the Subject or Body of the Invite Email

  • If you are a gmail user, check if you have conversation view turned on and if multiple emails have been stacked within a single thread.

NOTE: You can disable the GMAIL conversation view so that all your emails appear separate from each other. Follow the instructions on the Google’s site https://support.google.com/mail/answer/5900
