Why is this change needed?
Microsoft is retiring Exchange Web Services (EWS) on 1 October 2026. EWS is the technology Display currently uses to read room calendars and create bookings in your Microsoft 365 environment.
After that date, the old connection will stop working. To keep your room displays running — showing availability, booking rooms, and ending or extending meetings — Display must connect through Microsoft Graph, Microsoft's modern and supported API.
Please note: If your Display solution is connected via Planner directly, you do not need to migrate.
Migrating now means:
- No interruption to your room displays before or after the cutoff date.
- A more secure connection — no certificates to manage or renew, and access is limited to exactly what Display needs.
- Automatic room discovery — Display can find all room mailboxes in your tenant without extra setup.
What you are approving (and why)
When you connect Display, Microsoft will ask you to grant the "SIS Display – Graph" application two permissions:

These permissions are organization-wide and limited to calendars and room information only. Display cannot read email, files, or any other data.
Step-by-step
Step 1 — Open the Exchange connection settings
In your Display admin area, go to Settings → Exchange Service. You'll see the option to connect using Microsoft Graph.
Step 2 — Grant consent
Click the Grant Consent button. You will be redirected to a Microsoft sign-in page.
1. Sign in with your Global Administrator account.
2. Review the permissions listed above.
3. Click Accept to approve them for your organization.
Why a Global Administrator? Approving organization-wide access to calendars and room information requires admin-level authority in Microsoft 365. A regular user cannot grant this.
After you accept, Microsoft sends you back to Display, and the connection is registered automatically.
Step 3 — Enter the service account
Back in Display settings, enter the service account mailbox address (for example [email protected]).
Please note: The email address must have a mailbox license within your organisation's domain and must not have been used previously in Planner.
Why a service account? When someone books a room directly from a Display
screen, the booking needs an organizer. Display uses this dedicated mailbox as the organizer, which keeps booking subjects clean and makes bookings appear on the screen instantly.
Step 4 — Test the connection
Click Test (or Save and test). Display will verify that:
- It can reach Microsoft Graph with the permissions you approved.
- The service account mailbox exists and is accessible.
If something is wrong, you'll see a clear message — for example, if the service account address is mistyped or the mailbox doesn't exist. Fix the issue and test again until it passes.
Step 5 — Confirm your rooms
Once the test passes, Display will automatically discover the room mailboxes in your organization. Confirm your rooms appear and that each screen shows the correct availability. Try ending or extending a meeting from a screen to confirm bookings work end to end.
After migration
- Your displays now run on Microsoft Graph and will continue working past the 1 October 2026 EWS cutoff.
- There are no certificates to renew — the connection is maintained automatically. - If you ever remove the approved permissions in Microsoft 365, Display will stop being able to read or update calendars, and screens will show a configuration error until access is restored.
Frequently asked questions
Do I need to migrate before October 2026? Yes. After EWS is retired, the old connection stops working. Migrate well ahead of the deadline to avoid any disruption.
Can Display read our email or files? No. The approved permissions cover calendars and room information only. Display has no access to mail, documents, or any other data.
What happens to existing bookings? Existing room bookings in Microsoft 365 are unaffected. Display simply reads and manages them through the new connection.
Can we undo the connection? Yes. A Global Administrator can revoke the "SIS Display – Graph" application's access in Microsoft 365 at any time. If you do, please contact support so the displays can be reconfigured.
