What Is Hybrid Sign-In?

Hybrid Sign-In is an updated visitor management model that connects the entire visitor journey (i.e. invite > registration > sign-in > sign-out) into a unified process.

This capability introduces some key improvements:

  • Allows pre-registered visitors to complete additional steps at the kiosk after scanning their QR code, which wasn’t possible before.

  • Creates a unified Guestbook record that consolidates data collected across all stages of the visit (invite > registration > sign-in > sign-out), so everything is visible in one place.

  • Improves how pre-collected data from invites or registration (e.g. photos, form fields, signed documents, branch pages) can automatically populate or be skipped in the kiosk experience, reducing redundancy.

What Has Changed?

Visitor Journey

Traditionally, the sign-in process followed one of two paths:

  • Pre-Registered Visitors: Completed their registration in advance, then scanned a QR code at the kiosk and were immediately signed in. No further interaction with the Kiosk.

  • Walk-In Visitors: Entered their details directly at the kiosk during check-in.

Hybrid sign-in introduces a third, more flexible model.

Now, even pre-registered visitors can be guided through additional steps after they scan their QR code, allowing your team to collect more data or present content onsite, at the moment of arrival or departure.

This hybrid approach combines:

  • Data collected during registration

  • Data captured at the kiosk (post-scan)

It’s all tied together under one unified system, offering more control over what happens during each step of the visitor journey.

Guestbook Entries

To help support this, the Guestbook has been upgraded to show a single, complete record of a visitor’s journey for invited guests.

Previously:

  • Sign-in entries only displayed data collected during the sign-in.

  • Pre-registration details were stored separately.

  • Custom invite fields weren’t shown in the sign-in record.

Now:

  • Invite, registration, and kiosk data are all displayed when opening a sign-in record. Receptionists and admins can see everything the visitor submitted, across every step of the process.

  • Custom fields from the invite and registration portal are now visible and filterable within the Guestbook.

This change simplifies front-desk workflows by bringing all relevant visitor info into one place.

Note: This unification only occurs if the sign-in occurs during the visitor's valid invite window. This is true for both Kiosk and manual sign-ins.

If the sign-in occurs outside of that window, you will only see details collected at the point of sign-in when opening the guestbook record.


The Onsite Check Page

The key new tool of hybrid sign-in is the Onsite Check Page. This is a page that occurs immediately after a visitor scans a QR code on the Welcome screen.

To access it:

  1. Ensure the Kiosk Experience is updated to support kiosk Version 2.5.4 or higher.


2. On the Welcome Page, select 'Enable QR Code Scanner'

3. The Onsite Check Page will automatically appear after the Welcome Page.

This page doesn't appear to the visitor. It’s for admin configuration only. Behind the scenes, it allows the platform to branch into different paths based on whether the visitor is signing in or signing out.

Once enabled, the Onsite Check Page becomes the point in the flow where the system determines what to after a visitor scans their QR code.

For the visitor, they simply scan their QR code at the Kiosk's Welcome Page, and the kiosk will automatically determine if they are signing-in or out (email address is the unique identifier).

For admins, it is up to you to determine what happens after the onsite check page. You can simply add your pages like any other flow in the Kiosk Experience.

For example, after a visitor signs-in, you can add a picture page so they're forced to take an onsite photo. Or perhaps make them scan their ID onsite through our Scanner Page.

On sign-out, perhaps use a form page to ask if they have any comments about their visit.

How to Enable Autofill or Skipping

You can also use pages/questions that will automatically skip or autofill if they've already been answered during the invite and pre-registration process. Other than the GuestSign page, you are required to enter the same data names used in the custom invite field or registration portal:

  • Form Pages. Form Pages in the Kiosk will auto-fill data already collected previously. In the Form page, ensure the name field is the exact same as the equivalent Data Name field in the Registration Portal. Ensure that 'auto-fill' is enabled.

    • This also applies to Custom Invite Fields captured when a host is filling out the initial invite. Use the same data name used in those fields. Check out THIS article for more details on creating Custom Invite Fields.


  • Choice Pages. Choice Pages will skip if previously answered in the registration portal. Enter the same data names as their equivalent Branch Page in the Registration portal

  • GuestSign Page. Documents will skip if they've already been signed. Simply choose the same document used in the registration portal and ensure 'skip if previously signed' is enabled.

  • Photo Pages. Photos can skip if previously captured. Use the same data name that was used in the registration portal. Ensure 'Skip if previously taken' is enabled.


Guestbook Entries

In support of the hybrid sign-in method, the Guestbook has been redesigned to allow you to view all pieces of information captured during any part of the flow, whether invite, registration, sign-in, or sign-out.

However, this unification only occurs if the sign-in occurs during the visitor's valid invite window. This is true for both Kiosk and manual sign-ins. If the sign-in occurs outside of that window, you will only see details collected at the point of sign-in when opening the guestbook record.

To see a visitor's unified entry, simply click the name of their guestbook record and expand the areas of the panel you wish to see.
