To get to the Advanced Editor, click the Profiles tab and then Advanced Editor in the top right-hand corner:
Editing Profiles
To edit a cell, simply left-click on what you want to edit, or double-click, and start typing. When done, either press the enter key or tab key to go to the next cell.
You can also copy and paste data in bulk, if, for example, you are updating a 'Training Completed' date for a group of staff who all undertook the training on the same day.
The data will automatically be saved and the score will then be recalculated.
Merging Profiles
Important: When you first integrate with an MIS or SIA, this will create duplicate profiles.
Please do not delete the duplicate profiles as they will then not be integrated. Instead, follow the steps below to merge the profiles together to retain the information and the integration link.
To merge duplicate profiles you need to go to the Advanced Editor and select exactly two rows. For help with selecting multiple rows, please see our guidance below on selecting multiple rows.
Right-click on one of the selected rows, and if you have two profiles selected, you'll see the Merge 2 profiles option.
You will then be presented with a dialog confirming the details of the two profiles that will be merged:
By default, the left profile will be preserved. This means that if there is a value in each field, it will choose the one from this person.
We will merge all of the attributes associated with a profile. So if one of the profiles has been created from an integration such as Sign In App or Wonde, then this link will be maintained or established in the merged profile.
Warning: The version history will only be preserved from the 'Preferred' person and the other profile will be deleted.
The merging process will not merge any Documents, External Checks, or Incident Logs so it's important to extract any information of this nature from the profile that is not being 'Preserved', before you complete the merging process.
This operation currently cannot be undone.
Changing Profile Types
Changing the Profile Type can be done individually or in bulk from the Advanced Editor.
Locate the staff member that you wish to change the profile type for.
Double-click on the staff member's current Profile Type field to reveal a dropdown menu, and select the new Profile Type you wish to change the staff member to. It will then update automatically.
Once done, the system will recalculate the ratings for that individual. The action gets recorded in the Audit trail and Profile history.
If you are updating multiple Profile Types to the same new Profile Type, you can copy and paste the 'Profile Type' field using your keyboard controls or drag the field to copy as below:
Selecting Multiple Rows
There are 2 ways to select multiple rows on our Grid.
1. Selecting sequential rows by using the Shift key
This will allow you to select multiple sequential rows.
Left-click the first row, then while holding the Shift key, left-click the last row. This will select both the clicked rows and anything in between.
2. Selecting staggered rows by using the Ctrl/Command key
The will allow you to select multiple rows that are not necessarily grouped together.
While holding the Ctrl key (or 'Command' on a Mac), left-click the required rows. If you select one by accident, just keep holding the Ctrl key and click it again.
Hide or Unhide Checks in Bulk
How to Action
If you want to disable some checks for Profiles in bulk or re-enable previously hidden checks, then you will need to go to the Advanced Editor.
If you need to select multiple profiles, please see above for further help.
When you have selected the relevant profiles you then need to right-click on one of the selected rows and choose 'Hide Checks'.
You will be presented with the following dialog containing a combined list of available checks, where you can select/deselect any of the available fields:
Meaning of the check-boxes
The check will be visible when available for all selected profiles. | |
The check will be hidden for all selected profiles. | |
The check cannot be hidden as it is locked in the Template. See Template Locking | |
The check has conflicting values, it's currently disabled for some profiles and on for others.

Please Note: No underlying data is deleted when you hide a check, so if you make a mistake, you can simply unhide the checks again.
Deleting Multiple Profiles
To delete multiple profiles, start by opening the Advanced Editor then left-click on the first Profile you would like to delete then either select the last Profile in a block while holding the shift key to select them all, or hold CTRL/Command and select individual Profiles to delete. Please see above on how to select multiple rows if you are unsure.
All the rows that you need to delete should be highlighted. You can then right-click and choose the Delete option.
Please Note: If you delete a profile or profile(s) by accident, contact our customer support team as soon as possible.
We back up your data daily and weekly so can usually restore a deleted profile within a certain timeframe (approx. 90 days)
