How do I Import Personnel Data via CSV?

Compliance allows you to upload a CSV of personnel/users into your account, allowing you to add your users in bulk.

This article discusses the mandatory fields and highly recommended fields, like Facility ID, and the steps to include them in your upload.

Fields to Include in Your CSV

When deciding what to include in your CSV, we can separate them into three categories:

Mandatory Fields

You will not be able to upload a CSV without these fields

  • First Name

  • Last Name

  • Email


Highly Recommended Fields

The upload can proceed without these fields. However, their inclusion will help facilitate some functionality of the platform in the future and will be beneficial for the majority of our clients. These include:

  • Social Security Number (SSN): You can sync with DISS later to update a user's accesses and eligibilities. SSN is required for the DISS import, so this is important information to include in a user's profile.

  • Facility ID: Compliance uses Facility ID to determine which users and Security Officers will receive notifications whenever their employees perform actions within the platform. A Security Officer will receive notifications for their employees who share the same Facility ID.

NOTE: If you choose to include Facility ID, which we highly recommend, you must first grab the Facility ID from within your Compliance account. You will receive an error if you do not.

To do so, click Administration > Facilities. Choose your Facility, then copy the ID number from your browser's URL. You can then add this number into the Facility ID column.

Alternatively, if you export your list of Facilities, you can grab the ID from the report.

Optional Fields

These are fields that are not required or as important as SSN and Facility ID, but still provide valuable information about your users. Some examples include:

  • Employee ID #

  • Manager ID

  • Department

  • Location

  • Title

  • Hire Date

  • Termination date

  • Date of Birth

  • Place of Birth

  • Personal Email

  • Home Phone

  • Mobile Phone

  • Work Phone

  • Street Address

  • City

  • State

  • Zip

  • Country


Uploading Your CSV

After you've saved the completed CSV to your computer, you can upload it directly into your account:

  1. Click the People button in the left side panel.

  2. Select the Import CSV button.

  3. Name your import and ensure the Personnel type is selected.


6. Congrats! You have successfully imported your cleared employees using a CSV file. You can now invite them to complete a training or report information.

Some helpful tips for a successful import are:

  • When using your own CSV file use the following format: first name, middle name, last name, ssn, cage, email, employer id, job title, place of birth and date of birth. Example: Bob,Ray,Barkelyson,001-00-0001,4AE58,[email protected],A211,Engineer,"Atlanta, GA",09/01/1980

  • ThreatSwitch uses SSNs as an unique identifier, everyone must have a SSN listed

  • Emails provided in the CSV will be used for employee notifications and logins, all emails must be valid employee emails
