How Do I Use Escorted Sign-in?

The escorted sign-in feature allows hosts to validate that they have collected their guests from the lobby by scanning a unique QR code which links them to the sign-in record. This validation will then show up as a flag on the guest book record and will be captured in the guest book export CSV. This is especially handy if your site requires visitors to be accompanied for the duration of their visit, which then needs to be logged for future reference.

The escorted sign-in is completed in 3 steps:

1. Guest completes a sign-in.
2. Email is sent to host which includes the escorted sign-in QR Code.
3. Host collects guest at the iPad kiosk and scans their QR code through a designated sign-in flow.

A collected guest is then indicated via an orange banner in the top left corner of a visitor’s sign-in photo in the guest book.

Email Template Configuration

The escorted sign-in QR Code is available as a block in the Host Email Template Editor. Simply drag it into the template as you see fit and edit its properties such as width, alignment, background colour, and padding. To learn more about the Email Template Editor, click HERE.

Experience Editor Configuration

After the email template has been created, you can then insert it into your experience. Your experience must include two elements:

  • A host email template with your included QR Code: This can be added to the Host Selection Page, Notify Action, or Summary Page (The Host Selection Page is most commonly used).

  • The Escorted Sign-in Page: This is the Brown page in your experience editor and allows you to edit details such as:

    • Scan Page Title: The Title at the top of the page before the QR code is scanned.

    • Scan Page Button: Wording inside the button which brings up the QR code scanner.

    • Confirmation Page instructions: Message that is visible after a QR code is scanned.

    • Confirmation Page Button: Wording inside the button which completes the Sign-in.

    • Confirmation Success Message: Displayed after host accepts the visitor and finishes the process.

    • Use Front Camera: Choose whether to use the front or rear iPad camera to scan the QR code.

On the iPad, the escorted sign-in process will show a host through three separate pages which will ask for them to ‘SCAN’ their QR Code, then ‘ACCEPT’ their guest, followed by a confirmation page.

Some customers on our legacy pricing may not see this within their accounts. If you are missing this page, please contact customer success to turn it on for your account.

We highly recommended that you put the Escorted Sign-in Page as close to the start of your experience as possible. Because of this, we recommend using the path created by the ‘Secondary button’ that is triggered from the Welcome Page.

If you are already using the Secondary button as a Sign-Out path, feel free to add a choice page in your secondary path to gives hosts/visitors the option of signing-out or viewing the Escorted Sign-in Page.

Guest Book and Reporting

Once your host has their email, all they have to do is navigate to the escorted sign-in page on the iPad, scan their code, and hit Accept. The iPad will then proceed through the rest of the pages included in your sign-in flow. The host will also receive a confirmation pickup email at this point. If multiple hosts were assigned to an invite, you will be able to see which host scanned their QR code for pickup:

In the guest book, an orange banner will appear on the top left corner of your visitor’s sign-in record, indicating that an Escorted Sign-in has been completed.

Additionally, when you export your visitor data in the CSV Export, the date and time of visitor collection will be noted in the logs.
