How do I use the Approvals Feature for Invites and Sign-ins?

Sign In Enterprise allows you to block sign-ins and invites until they have been approved by a user. This feature allows you to require approval for ALL guests to a location or only guests who are on a watchlist. For watchlisted guests, this works for both internal and 3rd party watchlists.

For pending invites, this blocks the initial invite notification from being sent to the guest, as well as stops rejected invitees from being sent to the iPad's cache for auto-fill. Optionally, you can also send a notification to the host, indicating that their invite has been approved or rejected.

For pending sign-ins, you can approve and reject guests directly from the guest book, as well as send notifications to their hosts indicating that the sign-in has been approved or rejected. Until approved, all notifications that would normally be triggered through the sign-in flow are blocked.

Initial Setup

The approval process can be activated from the Preferences section in the top-right hand corner of each location in your account. From there, click the Alerts and Approvals option.

Along with setting up general watchlist alerts, you are also able to choose between these approval criteria:

  • Approvals not required

  • Require approvals for watchlisted visitors

  • Require approvals for all visitors


If choosing Require approvals for watchlisted visitors, select up to four watchlist colors which trigger the approval process.

If choosing Require approvals for all visitors, you can choose to manage approvals in Sign In Compliance if you are using that integration.

The Approval notifications setting lets you choose whether the host is notified via email that their guest's invite/sign-in is approved or rejected. If rejected, this will be the only notification they receive from Sign In Enterprise.

Invite Approvals

With approvals enabled, invite notifications are prevented from being sent out to your visitors until a user approves it. The invite is held in a pending state until it is approved or rejected.

If rejected, the visitor will not receive an invite email and their details will not be sent to the iPad's cache for auto-fill. If the guest tries signing-in, their guestbook record will also require approval.

If approved, the visitor will receive their invite email and will not require approval upon arrival UNLESS they sign-in outside of their approved invite time. There is a 30 minute buffer in-case they sign-in early.

Users with approval rights can see any pending invites in the Approvals section of the Locations Tab. They can click the Review button to see the relevant details of the invite and reject or approve the visitor. Once this has been chosen, the invite record will no longer appear in the Approvals section.

If you have enabled host confirmation emails, an email will then be triggered to the host associated with the invite stating whether the invite has been rejected or approved:

In the Invited Guest section, a user will then be able to see whether an invite has been rejected or approved. Rejected invites are no longer able to be edited.

Sign-in Approvals

Similarly to invite approvals, guests can also be sent into a pending state upon sign-in. In these instances, the sign-in record is indicated with a yellow pending icon next to the guest's name. Host notifications or Notify actions configured through the Experience Editor will not be sent out unless the sign-in is approved.

These sign-ins can be approved directly from the guest book by clicking on the REVIEW SIGN-IN button.

An approved or rejected sign-in will then be visible in the guestbook record. Either a green approved or red rejected icon will replace the yellow pending icon.

If you have configured host notifications indicating an approval/rejection, these will be automatically triggered after the sign-in has been reviewed.
