Ordering an External Check

To order a background check, please go to the profile page for the staff member you require a check for and click the 'External Checks' tab to make sure a check has not already been ordered. Once this has been checked, press the Order Check button:

Please Note: If the button is not there, please contact us to get your account set up. If the button is locked, please contact your system administrator to get the right permissions.

You will then be presented with a list of available checks for your school, with the prices:

You can select more than one check and the total price will be updated. Press next to enter candidate information which will be pre-filled based on the profile.

If required, you can make changes to the candidate information before proceeding to the Review Order page, where you can check the total price.

If you are satisfied with the order, you can then enter an optional purchase order number for your own records and then once the Terms and Conditions have been read, please confirm you agree to them by checking the box.

On Purchase, the information you have submitted will be sent for verification. If there are any problems it will show an error and you will be able to go back and correct the data.

On Success, the form will close and the check will appear under External Checks for the profile, and on the Dashboard widget if you have added it.

The candidate will then be sent an email asking them to fill in all their information and the Check Status will update along with the progress of the check.

Once complete, a report will be uploaded to the Document section. This is a confidential file and can only be read by people with permission to view them.


Right to Work (Digital & Conditional) Check

We’ll aim to verify UK right to work status digitally wherever possible. When digital verification is not successful, we will request proof of right to work in the UK from the candidate.

When right to work has been verified digitally, we will provide a report which provides statutory excuse against liability for a civil penalty in the event of illegal working if Home Office guidance has been followed (see Employers' right to work checklist - GOV.UK).

If a Home Office immigration status share code is provided, we will provide the profile page confirming the individual’s right to work. See Employers' right to work checklist - GOV.UK for further information.

Where other evidence of right to work is provided, we will review and provide advice on what action is required to obtain statutory excuse against liability for a civil penalty in the event of illegal working.

Qualified Teacher Status Check

We'll check whether an individual has a valid qualified teacher status or is banned, sanctioned or restricted from working in the education sector.

With this check, we’ll confirm whether an individual was awarded a qualified teacher status (QTS) and completed their teacher indiction. We’ll also identify any prohibition, sanction or restriction that may or will affect their ability to carry out certain activities or work in particular roles. The lists this check consults include:

  • Teachers who have failed to successfully complete their induction or probation period

  • Teachers who are the subject of a suspension or conditional order imposed by the General Teaching Council for England (prior to its abolition)

  • Teachers and others who are prohibited from teaching in England

  • Individuals who have been barred from taking part in the management of an independent school (including academies and free schools) (also known as Section 128 check)

  • Teachers sanctioned (since 18 January 2016) in other EEA member states by an EEA member state regulator of the teaching profession

Each list describes how the sanction, prohibition or failure to successfully complete their induction or probation affects the type of work the individual can be employed to do. This search is mandatory before appointing a teacher by schools, sixth-form colleges, further education colleges, local authorities and teacher supply agencies in England. It is also mandatory for academies and independent schools before appointing anyone for management roles such as:

  • Trust members and trustees

  • Governors who sit on committees or local governing bodies with delegated responsibilities

  • Headteachers

  • Teaching positions on the senior leadership team

  • Teaching positions that carry a department headship

  • Other roles with management or governance responsibilities

Online Identity Check

In this check, we'll verify an individual's identity by cross-referencing their personal information against a variety of government and proprietary sources.

Warning: This check will only confirm a candidates identity online (see below for exactly what this covers)

This should NOT be confused with a Digital Identity Check.

For the purposes of the check, an individual's name, current address and date of birth will be cross-referenced against the edited UK Electoral Register and telephone database and other data held by credit bureaus.

Internet and Social Media Searches

Social Media Search


Verifile will undertake a check of an individual's online reputation across various social media platforms, identifying both positive and negative aspects of their online activity.

The search looks for positive activities such as charitable and volunteering work, as well as inappropriate content such as illegal activities, discriminatory or hateful behaviour, violence, extreme views, potential addictions, or sexually explicit content.


The search is using artificial intelligence to translate content from most languages into English. All reports include a screen grab of the social media profile page and any ‘red flag’ material found.
