The Sign In Companion Assistant is an AI-powered interface designed to make space booking easier and faster for all subscription tiers that have enabled the Spaces feature.
Enabling the AI Assistant
The Assistant is available for Sign In Companion group members running v3.12 or above.
Access to the feature is managed via the Sign In App online portal by navigating to each repeat group's settings. The following options are available:
Enable for a Group
To enable the AI assistant for an entire group:
From the online portal, go to Manage > Groups.
Select the group you'd like to edit.
Click the Companion App tab on the left.
Find the new permission labeled Can use AI assistant and enable it.
All members of this group using the group default permissions will now have access to the AI assistant.
Enable for an Individual Member
To enable the AI assistant for a single group member:
Go to the Members tab within the selected group.
Click Edit next to the member’s name.
In the Companion App section, uncheck Use group default permissions.
Manually enable Can use AI assistant for this member.
Important: You must disable 'Group default' permissions before adjusting individual settings.
Enable for Multiple Members (Bulk Edit)
To enable the AI assistant for a selected group of members:
Go to the Members tab in the group.
Select the checkboxes next to the users you want to update.
Click Edit to open the bulk edit menu.
These buttons have three states: On, Off, or Do not change.
If the members you are editing are not using the default permissions for the group you will see the middle permission is set to 'Do not change' as below:
Click the toggle to switch this on for the selected members, and then select 'Save All':
The selected members will now have the feature enabled.
How to Use the Assistant
Chat icon
Once enabled, users will see a new chat icon:
On Mobile: Located on the home screen of the Companion app.
On Web: Accessed via the side menu in Web Companion.
When opened, the Assistant displays a blank chat window with sample prompts:
“What bookings do I have?”
“I’d like to make a booking.”
Group members can type custom questions or tap the speech bubble (!) icon to provide feedback on Assistant responses — this feedback goes directly to the Product and Development teams to help improve the experience in real-time.
Privacy and Security
We have designed the Assistant with privacy and security at its core:
No data is shared with any third-party systems.
Users only see the data and functionality they’re authorized to access — nothing more.
What Can You Ask the Assistant?
The AI Assistant currently supports Spaces-related tasks. Depending on permissions, users can ask:
Booking-related:
“Book me a desk and parking space all day on Monday and Tuesday next week.”
“What spaces do I have booked?”
“Cancel my booking for Tuesday next week.”
“Do you have parking space details at the Waterside office?”
Presence-related (requires 'Today' permission):
“A car with registration ABC 123 is in my space. Who owns it?”
“Are there any key holders in the building?”
“Is anyone from Finance in the office?”
“Are any first aid staff available today?”
