Overview of Standard Permissions

Administrator

Has visibility to everything in the system

  • All cage codes, all reportable information, all visit requests, trainings and any forms and documents.

  • Any employee who submits an item, an Admin has visibility to this information.

Employee Records

  • Can add and import new users (manually, CSV, DISS).

  • Can edit all information for an employee.

  • Can update/remove an employee from any cage code.

  • Can delete an employee from the system.

  • Can delete any item from the employees profile.

  • If other Admins/SMs leave a comment on an employees record, they can see that comment.

Administration Tab:

  • Can see all Contracts, Facilities, Asset Control, Forms, Documents, Tags, Badges, Company info

  • Can add/delete/edit contracts, facilities, asset control, forms, documents, tags, badges and company info

  • Can assign people to a contract and facility.

Documents & Forms:

  • Can upload a new form and assign it to a(n) employee(s)

  • Can delete a form and document

  • Can upload a company wide document to the documents section and can make it visible to employees

Reported Info, Foreign Travel, Training and Visit Request:

  • Can see every employees submissions for these items

  • Can review, edit and delete these items

  • Can create these on behalf of an employee

Other Options:

  • As an Admin, you also have access to your profile and items assigned to you (forms, training, travel, etc).

  • As an Admin, you can enable 2FA for your account.

  • As an Admin, you have complete control of the system

  • You CANNOT change your own email address

Administrator Notifications

Below is a list of general notifications that admins receive as part of their role:

  • Travel Notice Emails

  • Incident Created Notifications

  • Training Completion Notifications

  • Employee Profile Update Notifications

  • Missed Audit Notifications

  • Ticket Creation notifications

    • Additional ticket notifications if the user is assigned as an approver/reviewer

  • Employee Visit Requests (to assigned managers)

  • Document signature completion notifications (to assigned managers)

  • General comment notifications

  • Notifications relating to tasks assigned to them

Note: If an Admin is designated as a reviewer/approver, they will receive notifications relevant to that item.


Security Manager

Can only see information relating to their cage code.

Employee Records:

  • The only employees the SM can see are the employees that are assigned to their cage code.

  • They can only see employees incidents, travel, visit requests, forms and documents if they are in the same cage code.

  • They can see all employees who have been assigned a training/completed a training despite the cage code --> this is the only exception.

Employee Records (only employees in their Cage Code(s))

  • Can add and import new users to their cage code (manually, CSV, DISS).

  • Can edit all information for an employee except for the cage codes they are assigned to.

  • Can only change an employees 'Role' to be less than their role; IE SM can only change a users role to an Employee or Assistant Security Manager

  • Can delete an employee under their cage code from the system

  • Can delete any item from the employees profile that is in their cage.

  • Can mass assign a form, activate a user, deactivate a user and assign an existing tag to users in their cage codes

  • If other Admins/SMs leave a comment on an employees record, they can see that comment.

Administration Tab:

  • Can see all Contracts, Asset Control, Documents, Badges info

  • Can add/delete/edit contracts, asset control, documents, badges

  • Can assign people to a contract

  • Cannot upload or edit a Form, Tag, Company Info, Facility

Documents & Forms -

  • Can assign an existing form to a(n) employee(s).

  • Can view forms employees submit

  • Can upload/delete a company wide document to the documents section and can make it visible to employees in their cage code.

  • Can only see employees in their cage codes submissions for these items

  • Can review, edit and delete these items

  • Can create these on behalf of an employee

Other Options

Security Manager Notifications

Below is a list of general notifications that security managers receive as part of their role:

  • Travel Notice Emails

    • Additional ticket notifications if the user is assigned as an approver/reviewer.

  • Notifications if the user is an approver

  • Notifications relating to tasks assigned to them

Note: If a Security Manager is designated as a reviewer/approver, they will receive notifications relevant to that item.


Employee

  • Can report the following: Incidents, Foreign Travel, Visit Requests, Forms and Training

  • Cannot view their previously reported incidents

  • Cannot edit their visit requests once submitted

  • Can view company wide documents that have been marked as ‘allow employees to view’

  • Can view their profile and make edits to: Contact Info, Emergency Contact and Passport/Drivers License Info

  • Can view their eligibility and accesses

  • Can enable 2FA

  • Can change their profile picture

Employee Notifications

Below is a list of general notifications that employees receive as part of their role:

  • Travel post-brief reminders (to travel assignee)

  • Training assignment notifications (to assigned employee)

  • Ticket Completion Notifications

  • Outgoing Visit Updates

  • General comment notifications

  • Notifications relating to tasks assigned to them

Note: If an employee is designated as a reviewer/approver, they will receive notifications relevant to that item.
