ThreatSwitch Workflows is a collaboration-centric, customizable workflow management hub that allows ThreatSwitch Administrators like yourself to define your own processes, create tickets for everything moving through these workflows, and collaborate within ThreatSwitch to get tasks done, while analyzing and visualizing progress.
This help article will walk you through the various settings available in Workflows to tailor the Workflow to your organization's needs.
Getting Started:
To start, when you log into ThreatSwitch, go to the Workflows tab on the main navigation bar on the left hand side. Then select +Add a Workflow. Note: If you have already set up Workflows, they will appear here.
From here, simply specific a name for this Workflow as well as any Instructions you would like to provide when a user is creating a ticket for this Workflow. Don't worry - both of these can be changed at any time. Additionally, you can now specify the color and icon that best suits your Workflow.
After clicking Save, you will land on the settings page for that specific Workflow. This is where the fun begins! On this settings page, there are various sections that we will provide further detail on below. You can always get back to this page by going to Workflows and then selecting the Settings button on the Workflow card. Additionally, when viewing the ticket view of a specific Workflow there is a Settings button as well.
On the settings page, you will also notice sections for Comments and History. Comments enable collaboration amongst your team while you build, maintain, and edit workflows while History provides a detailed audit trail of what changed.
Actions:
Let's start with the Actions section found in the upper righthand of the page. Workflows begin as 'Admin-only' workflows, which means only Administrators will be able to create tickets for this workflow. However, via the Allow Employees to Create action button, you can unlock the ability for non-Administrative users to submit tickets, and vice-versa. Additionally, you can delete the workflow in its entirety via the Delete Workflow action button.
Custom Fields:
Custom Fields enable you to capture different types of information directly on a ticket prior to its submission. You have full control to specify the name of the field, a description, the type of field including Date, Number, Short Text (i.e. single line text field), or Long Text (i.e. paragraph box) as well as if the field is required to be completed prior to submitting the ticket.
Submission Assignments:
Submission Assignments define what is required to be done prior to the ticket being submitted. Similar to the way Action Requests have worked historically, you can define which Digital Forms, Document, and/or Links are required to be completed prior to submitting and ultimately creating the ticket.
Statuses
The Statuses section enables you to define the statuses or the stages of your Workflow. These are completely customizable and can be dragged-and-dropped into the correct order.
When viewing the tickets view of a Workflow, these statuses determine the columns or kanban swim-lanes of that Workflow.
Tasks
Tasks are new to ThreatSwitch but are powerful tools to drive getting work done, no matter who needs to do the work. Tasks can be pre-defined for a Workflow, thus creating the tasks as soon as a ticket is created. Tasks can also be added ad-hoc at any time on a ticket.
When creating pre-defined Tasks in a Workflow, simply specify the Name, Assignee (if known and a consistent owner of the task), and Description. To note, Tasks do not have to have a default Assignee. Once created, you can drill into a Task to modify the previously entered details as well as attach Digital Forms, Documents, and/or Files relevant for the task.
