Accessing Reports
Access your Reports
Should you need to Export data, or when the time for an Inspection comes if you're in UK education, you may simply want to see an Excel sheet that contains only the required fields.
To produce this Excel sheet, head to the Insights tab. There, you will see a list of available reports:
UK Education: The "Single Central Record (with Central Team)" report will only appear for Trusts that have a Central Team SCR and will only be accessible for those with the relevant permissions.
Setting Favourite Reports
You can use the star icon to denote your favourite reports which will move them to the top of the list (this view will only save to your personal User account).
Editing and Exporting a Report
Opening a Report
To access and edit a Default Report click "Open". In this example we have opened the Single Central Record Report:
A spreadsheet will then open which looks and functions similarly to our Advanced Editor.
You will notice that by default the system will order the Profiles by least "Inspector Ready" to most in order to draw your attention to any Profiles that need to be completed first (where applicable).
The Filter Bar
Our Filter component appears in a few places in the application. It allows you to reduce the number of Profiles you are viewing by selecting a few of the most common options.
Here is a typical example of what the Filter bar looks like:
This will show exactly what it says: all profile types only have the Active and Onboarding tags.
To change the selected profile types, click on all profile types and a drop-down will appear.
In here, you can now toggle on and off what you want to see. A tick means that the item will be shown. Once you have set your selection, press the Apply button.
To change the list of tags, simply press the 'with Active and Onboarding' button to see the following drop-down:
Choose what you would like to see, and press Apply. You must select at least one item.
If you want to filter profiles that have passed or failed specific ratings, press the plus button at the end of the filter, and choose from the available filters:
You will then be able to modify the filter, for example, if you want to change from Inspector Ready to not Inspector Ready, click the filter and change the option.
You can add a new filter for each rating system, the end result may be something like this:
Field Selector
The field selector on the right-hand side includes all of your Sections and Fields (columns) including custom Sections and Fields. From here, you can choose what you would like included in your report:
UK Education: By default, on the Single Central Record Report, only Statutory "Inspector Ready" Fields are selected as it is mainly designed to be used during an Inspection. You will notice that these Fields show as greyed out meaning that they cannot be deselected. Should you wish to remove these from a Report you will need to create a Custom Report.
Adding Sections and Fields
Should you wish to add whole Sections or specific Fields (columns) to this report simply select them from the field selector:
Reordering Columns
You can reorder the columns by dragging and dropping the fields from within the Filter Bar:

To reorder whole Sections, click on the Section Header on the Report Spreadsheet and drag/drop it to its new location:
Editing Column Widths
You can edit any column widths by hovering over the column border and dragging it out:
Please Note: Any changes made to column widths will not be applied to the Exported Excel spreadsheet.
Exporting the Report
Once you are happy with your Report click "Export" and once the system has finished building your Report you will be able to click "Download" to view it in Excel.
Please Note: Any edits made to this view on default reports will not be Auto Saving, meaning that should you close this Report and re-open it, the Report will have reverted back to its default view. However, this view will Export out to Excel including any edits made.
Should you wish to save a certain view/layout of a default report, you will need to do so by firstly making a Copy of this Report (see below) or by creating a Custom Report.
Making a Copy of a Report
Creating a Copy
You can make a copy of any of our default Reports so that you can save your edited view.
To begin click on the "..." icon next to the Report you'd like to copy, then click "Duplicate"
This will create a copy of the Report at the bottom of your Reports list:
Click "View" to begin customising your new copy.
Renaming and Customising the Settings
To edit the name and settings of your copy click on the "Edit" icon in the top right corner of the page.
This will bring up the following editing drawer:
You can enter a new name and description for your copy and also choose who it will be shared with.
Sharing
Using the "Shared With" drop-down you can choose who will have access to your new copy:
"Only Me" - This will keep it as a personal copy that only you can access.
"Organisation Name" - This will allow everyone within your organisation (who has reporting permissions) to have access to your new copy.
"Federation Name" - If you are part of a federation this will allow everyone within your federation (who has reporting permissions) to have access to your new copy.
Please Note: If you share this copy across your Organisation/Federation, anyone with permission to edit Reports can make and save changes to your copy.
Settings
From the Report editing drawer, you will also be able to choose whether to include certain information:
Federation: If you are part of a Trust, selecting this will include your Central Team Profiles in your new Report.
Excel Export: Select, or De-Select these options based on what you would like your exported Excel to show.
Deleting a Report
Default Reports
Reports that are available by Default are not able to be deleted. You will notice that the delete option is greyed out/locked.
Deleting a Custom Report
To delete a Custom Report click on the "..." icon next to "Export" for the Report that you wish to delete.
Then select "Delete"
Please Note: This action is irreversible. Currently, no warning will appear to ask if you are sure that you wish to delete a Report.
