Report Management

On this tab, you can:

  • Create, edit, and delete reports

The reports are based on the following options:

  • Name

  • Location

  • Resources

  • Resource categories

Create a new report

  • Click on the Resource filter on the left side of the screen

  • Click on the New Resource filter on the right side of the screen

  • Give your report a name related to its content, including the location

  • Click on Save to close the report and find it in the list of reports

  • Click on the pencil next to the report to edit it

Defining Resource Filter

Reports are built on top of a resource filter, and a resource filter defines which resource bookings should be included in a report.

A resource filter is required when generating reports and when configuring scheduled reports.

A resource filter can be filtered on:

  • Location - ex. only see bookings in a specific location

  • Specific resource categories - ex. only see bookings of "Beverages"

  • Specific resources - ex. only see bookings of "Coffee" and "Cookies"

  • Departments - ex. only see bookings by "Sales" department

    All departments will be included if no specific department(s) have been chosen

How to create a resource filer

Step 1: Define the coverage locations for the report.

Step 2: Choose between specific resources or resource categories to include in the report.

Step 3: If needed, choose departments, if only bookings from specific departments should be included

!! Reports should cover resource categories for automatic content updates.

Setting Up Report Permissions

  • Choose the resource categories for the report

  • Click on the tab Permissions

  • Specify which users will get access to the report

  • Grant access to specific users or select a group based on roles in Planner

  • Search for a specific person by name or initials

  • Click Save to complete the report setup

Generating Reports

You have two options for accessing your report:

  1. Manual download: Click "Select report" on the left side of the screen, and choose from the following options:

  2. Resource filter: Select the report you want to see

  3. Layout: Choose your preferred layout

  4. Start date: Specify the starting date

  5. End date: Specify the ending date

Click "Download Report" to open the report as a PDF file or "Download CSV" to open the report in Excel.

  1. Automatic delivery: Set up automatic delivery to receive the report without manual intervention.

Experiment with different layouts to find the one that best suits your preferences. Note that the "Weekly schema" layout is based on your specified start date.

Scheduling a Report

Scheduled Report: Click Scheduled Reports on the left side of the screen and select New Scheduled Report on the right side of the screen.

Naming the Report: Start by naming the report in a way that tells what it contains or who the recipients are.

Choosing Filters: Then choose which resource filter to send to you, for example, what you just made as a report. You must now select the following:

  • Layout of the Report

  • Coverage: Whether the report will cover the bookings for the current day or for the following day

  • Additional Days: How many additional days the report should cover. If you just want the current or following day, leave the 0.

  • Delivery Time: At what time you want to receive the report

  • Time Zone: Your time zone

  • Delivery Days: The days you want to receive the report

Scheduling and Testing Reports

Now follow these steps:

  • Click the tab Receivers and choose who will receive the report.

  • You can choose between specific users or user groups.

  • Click Create, and your scheduled report is now ready and will be sent automatically.

  • If you want to test the content, you can open it again and click Run manually.

  • The report will be sent to the recipients immediately and let them evaluate the content and layout.
