This is an overview of what the different roles can and have rights to in the Planner solution. These roles can be assigned to Planner users.

Booker:

This is a basic user. A booker can book meetings for themselves in Planner or through the Outlook add-in if it’s installed. They can only book a VIP resource if they have the corresponding VIP access.

The booker rights can be granted to one location or all locations.

Local: Can only set up meetings and order catering, rooms, and equipment at the assigned location.

Global: Can set up meetings and order catering, rooms, and equipment across several locations.

Can access :

  • "My Calendar"

  • ”My Settings”

  • "Booking Flow”

Secretary:

The secretary can create, view, edit, and delete meetings on behalf of all other users. The secretary's right can be granted to a location, a department, multiple departments, or every location.

Local: Can only set up meetings and order catering at assigned locations for others.

Global: Can set up meetings and order catering across multiple locations for others.

Can access:

  • "Scheduling Assistance”

  • “Classic View”

  • "Receptionist module"

  • “Booking Flow”

Facility Manager:

This right is meant for the person(s) in charge of the meeting rooms. They have access to the reports tab, where they can create reports.

The facility manager's rights can be granted to one location or all locations.

They have access to the bookings tab. In the bookings tab, they can edit other meetings with meeting rooms and equipment. Here they can bypass the ordering deadline and VIP restrictions for meeting rooms and equipment.

In the resources tab, they can create and edit meeting rooms and equipment. There are a lot of possible settings set on the resource level. They can also make resource categories VIP.

Local: Can only create resources for the assigned location.

Global: Can create resources across multiple locations for others.

Can access:

  • "Bookings"

  • "Report"

  • "Resources”

  • “Booking Flow”

Receptionist:

It is possible to register the creation of guests, entry, and printing of outside guests in the Visitor module.

Local: you can only register guests for your location.

Global: can register guests to multiple locations.

Can access:

  • "Visitor Reception”

  • "Scheduling Assistant”

  • “Booking Flow”

Catering Manager:

This right is meant for the person(s) in charge of the kitchen. They have access to the reports tab, where they can create reports. These are usually used to create and deliver the food.

The catering manager's rights can be granted to one location or all locations.

They have access to the bookings tab. In the bookings tab, they can edit other meetings concerning catering. Here they can bypass the ordering deadline and VIP restrictions for catering, so they can add orders to last-minute meetings, or correct past orders. They can also lock bookings, which is used in some economy exports.

In the resources tab, they can create and edit catering resources. There are a lot of possible settings set on the resource level. They can also create Closing days, which are days when catering can’t be ordered, and they aren’t included in ordering deadlines. They can also make resource categories VIP.

Administrator:

You have full access to the solution for creating users, locations, companies, and resources. You can change users’ rights, assign users to locations, and delete meetings under Bookings.

Administrators can change the system configuration and create, edit, and delete users. In short, everything is covered by this guide. Administrator rights are always for all locations.
