Prevent showing subject for private meetings

WHEN

Subject of meetings in Outlook that has been labelled as private is revealed on the displays.

WHY

Display looks in the room calendar and displays the information that is generally available.

So if your Exchange has been configured to ignore the private flag, then the subject is available in the room folder on Exchange and thus NOT private for any users.

HOW TO SOLVE

To change this - please do as follows:

Resource privacy options control what information is included in requests and cancellations sent to the resource mailbox. These options affect only the items in the resource calendar, not in the calendars of other attendees.

  • Always remove the private flag on an accepted meeting – Check to mark private meeting requests as public so that the resource schedule can be viewed by other people

This is an Exchange setting and should therefore be set via Exchange
