How To Book Meetings Using The Planner Web Portal

Planner's Booking Experience allows you to schedule and edit meetings directly from the admin portal. This includes booking rooms, ordering catering, reserving equipment, and managing attendees all from one section.

This article discusses how to access the booker and navigate through its different sections.

Accessing the Booking Experience

The Booking Experience can be accessed directly from the admin portal's main page:

  1. Find the date you'd like to book a meeting under. You can choose a date range using the calendar on the left-hand side.

  2. Click the Create Meeting button on the right, next to your desired day.

NOTE: Users with administrator, manager, or secretary roles can also access the Booking Experience through the Scheduling Assistant.

Using the Booking Experience

From the main Booking page, you can edit basic meeting details and switch between different Booking features.

Use the calendar and time selectors near the top of the page to choose a meeting slot. If you have access to more than one location, click the Locations button in the top-right corner to view and change to another location.

The six tabs on the left include:

Rooms

From here, you can select and view availabilities for rooms in your location. White space in the calendar indicates an available time. Additionally, you can filter by room attributes, categories, and capacity limits at the top of the calendar.

When you're ready to book a room:

1. Click the checkbox next to the rooms you'd like to book (You can select more than one).

2. The green highlighted section indicates the time slot you are booking. You can click the calendar directly or click and drag the green borders to change the selected time frame.

Catering

Catering allows you to add kitchen items, like food and drinks, alongside choosing your delivery method. These items are typically curated by your account's Catering Managers who then choose when each item is available to be booked.

To book a catering item:

1. Click the Catering tab in the left navigation bar.

2. Choose your items through the +/- buttons next to their name. You will see all associated costs beside it.

3. To edit delivery method, click the pencil icon near the top of the page. Depending on the item restrictions, you can choose a pickup or delivery method to a specific place.

4. You can choose to add comments to your booked items if it is not already mandatory to do so.

Equipment

This page allows you to reserve equipment such as additional room or IT resources. This list is typically curated by you account's facility manager. The page is laid out exactly like the Room booking page.

When you're ready to book a resource:

1. Click the checkbox next to the resources you'd like to book (You can select more than one).

2. The green highlighted section indicates the time slot you are booking. You can click the calendar directly or click and drag the green borders to change the selected time frame of the meeting.

3. Click the pencil icon at the top of the calendar to change delivery/pick-up instructions. Some items may have restrictions based on their delivery/pickup status.

Attendees

This is where you can add the attendees to your meeting. Each attendee can be individually added through their own row with these fields:

  • Email

  • Name

  • Company

  • Internal/External

To remove an attendee, click the checkbox next to their name, followed by the Remove attendees button near the top of the page.

Uploading Attendees From A Spreadsheet

In addition to adding users individually, you can also copy and paste rows directly from an external spreadsheet. This allows you to bulk add your attendees into booker:

1. Create a spreadsheet with the columns aligned in this order: Email, Name, Company, Internal/External

2. Add your attendees to this spreadsheet. Then, copy them to your clipboard (Ctrl + C).

3. Back in Planner, place your cursor in the email field at the bottom row and paste (Ctrl+V) your attendee data.

Billing

Billing allows you to select which departments or companies will be charged for the resources you’ve booked.

To select a billing account that will apply to all bookings, select a billing account from the dropdown box at the top of the page. Then, click the Apply to all bookings button.

Alternatively, you can assign a different billing account to each individual resource down the page. Some billing accounts may require comments. Simply type them into their comment boxes next to their corresponding items.

Details

Lastly, the Details section allows you to indicate meeting characteristics such as:

  • Visibility: Public or Private

  • Meeting Type

  • Main Contact

  • Additional Comments

This section allows you to add any further details to the meeting that are not already covered by the other pages.

When are happy with your booking, click the Confirm button at the bottom-right corner of the page.
