Microsoft Teams meeting links in Planner Web

Add a Microsoft Teams meeting link to meetings booked through the Planner web interface.

How the feature works

When an administrator turns on the Generate Virtual Teams Link setting, Planner automatically adds a Microsoft Teams meeting link to every new meeting booked through Planner web.

  • The link is created automatically — there is no toggle, checkbox, or option for users to control it on a per-meeting basis.

  • Once the meeting has synced, a Join Teams meeting link appears on the meeting in Planner, and the meeting is joinable through Microsoft Teams.

  • This applies to meetings booked through both the New Booking Experience and the Old Booking Experience.

To turn the behaviour off, an administrator switches the Generate Virtual Teams Link setting back off; new meetings will then be booked as standard meetings with no online meeting link.

Requirements

  • You must be an administrator of the solution to enable the feature.

Enabling Teams meeting links (administrators)

The feature is controlled by a single site-wide setting in Planner Admin.

  1. Sign in to Planner as an administrator.

  2. Go to AdministratorSettings → Meeting Settings.

  3. In the Meeting Location section, select the Generate Virtual Teams Link checkbox.

  4. Save your changes.

Once saved, Teams meeting links will be added automatically to new meetings booked through Planner web across your organisation.

Booking a meeting (end users)

There is nothing extra to do. Once your administrator has enabled the feature, simply book your meeting as you normally would in Planner web — in either the New or Old Booking Experience.

  1. Create your booking and enter your meeting details (title, location, room, and any extras such as catering).

  2. Complete the booking.

  3. A Microsoft Teams meeting link is added to the meeting automatically.

Where the Teams link appears

After the meeting has synced, the Teams link is available as a Join Teams meeting link in a few places:

  • Meeting details in Planner — open the meeting and the Join Teams meeting link is shown in the meeting details.

  • When reopening a booking — if you reopen an already-booked meeting in the checkout view, the Join Teams meeting link is shown there too.

  • In the meeting description / calendar entry — the link is included in the meeting body that syncs to your Outlook calendar, so the meeting can also be joined directly from the calendar event.

In Planner Web

  • Navigate to the calendar view page

  • Select the booked meeting

  • View the 'Join Teams meeting' button

  • While viewing the Meeting inside the Planner Web calendar view, click 'Edit'

  • Scroll down to 'Details'

  • View the 'Join Teams' button

  • While viewing the Meeting inside the Planner Web calendar view, click 'Edit'

  • View the 'Join Teams meeting' button in the Booking Details

Joining the meeting

Select the Join Teams meeting link from the meeting in Planner (or from the Outlook calendar entry). You'll be prompted to open Microsoft Teams, and you'll be taken straight into the meeting.

Good to know

  • New meetings only. A Teams link is added when a meeting is created while the feature is enabled. Editing an existing meeting will not add a link to it, and will not remove a link it already has.

  • The link appears after the meeting syncs. The Teams link is generated when the meeting is synced to your calendar, so it may take a short moment to appear after you finish booking, rather than instantly.

  • It's automatic. Because there is no per-meeting control, every new meeting booked through Planner web gets a Teams link while the setting is on. To stop adding links, an administrator turns the Generate Virtual Teams Link setting off.
