User Cost Centre Tracking (Posting Types)

For Administrators

1. Managing Posting Types (Konteringstype)

A new settings page is available to manage these entities centrally.

  • Location: Navigate to Settings > Posting Type.

  • Configuration: This page is similar to the functionality of the Billing settings page. You can create, edit, or delete types manually or use the CSV Import/Export feature for bulk updates.

  • Department Restriction: Note that, unlike Billing accounts, Posting Types cannot be restricted or mapped to specific departments. They are available globally based on user permissions.

  • Mandatory Settings: You can toggle "Always require Posting Type on bookings" to ensure no reservation is completed without a cost centre.

3. User Profiles & Azure AD Sync

We have introduced a dedicated Employee Number field to facilitate automatic cost attribution at a user level.

  • Profile Placement: In the User Management dialog, the Employee Number is located directly above the "First Name" field.

  • Automation: This field is designed to sync automatically with Azure Active Directory. It maps directly to the employeeID attribute from Microsoft Graph during your standard AD import process.

Selecting a Cost Centre

When creating or editing a booking in the Outlook Add-in or the Web Booking Experience, you will see a Posting Type dropdown menu.

  • Smart Defaults: The system automatically registers your assigned cost centre.

  • Booking on Behalf: If you make a booking for a colleague, the system automatically attributes the cost to the Owner’s cost centre rather than yours.

  • Shared Calendars: For bookings made on behalf of a department or shared calendar, you can manually select the appropriate cost centre from your authorised list.

  • Search & Favourites: To save time, your most frequently used Posting Types appear at the top of the list.
