Moving from Sign In App's Classic portal to Portal 2.0

What is Portal 2.0?

Portal 2.0 is a faster, more intuitive way to manage Sign In App. It’s not a new system - your data, settings, and structure stay exactly the same. What changes is how you interact with it - with a more streamlined, modern experience.

We've made everyday admin work faster, clearer, and easier- without disrupting what already works. You get a more intuitive experience, fewer clicks, and better visibility across your sites, while keeping your existing data and setup intact.

Q: How will the transition work?

You stay in control of the switch! A toggle at the top of your current portal lets you move between the classic and new experience at any time. The switch is per user, so you can explore Portal 2.0 without affecting other admins. The classic portal isn’t going away yet. There’s no fixed date for a full transition, and you’ll get advance notice before anything changes.

The transition is gradual and low risk, with the flexibility to switch back at any time.

This is how visitor management moves forward: less friction, more clarity, and a system built around how teams actually work.

Q: Are there any changes in terminology?

There are a few changes in terminology where we have chosen simpler language that reflects how teams actually work:

Feature Updates

So, what exactly is different or new in Portal 2.0? We've listed our feature updates below for you and we'll keep this updated as we release new items!

The Activity Page

Lets start with your new landing page, the Activity page (formerly the Today page). We've combined the Today page and History report into one view which shows today's sign ins by default:

Key Highlights

- We've combined the Today page and History Report into one view
- You can now see everyone signed in across all groups with “Total in”
- View activity across all sites in one place
- Filter by signed in, signed out, or all visitors
- Search by name directly from the page
- Customize which fields appear in the timeline
- Select date ranges and export up to 1 year of data

You will also see separate tabs for:

Pre-registrations - This tab is where you can view or edit a pre-registered visitor. With a handy 'Expected today' button for you to easily view your expected visitors, you can also pre-register visitors directly from this page either individually or in bulk.

Deliveries - View todays deliveries or collections with a single click!

If you do not see the 'Deliveries' option, you can enable this in Manage > Visitor groups and enable the deliveries feature.

Visitor record drawers

When you click on a visitor record now, rather than being taken to a completely new page, a drawer will appear on the right hand side where you can view, edit, or sign out the visitor:

Key Highlights

- Open visitor details in a slide-out panel
- View notes, sign-out options, and full records instantly
- Move between records without navigating away using the arrows at the top of the drawer


People directory

You will see a new 'People' tab. This replaces the Classic portal view for members in each group. The new directory brings all group members to a single page which contains a people directory for all repeat groups. You can view a group by using the selector at the top of the page, where you can then add/edit/export/archive/delete members either individually or in bulk:

- Full member details in a single view, including history, attendance, and settings
- Archived members can be viewed and restored at any time
- Upcoming members with future start dates clearly visible

Attendance

The attendance tab is your new timesheet report. A dedicated view for schedules, sign-in status, leave, and time tracking:

Manage section

Your manage tab has been simplified to show the items most commonly managed, with an option to 'View all' to see the full range of options under this section that you would currently see in the classic portal's manage page:

- Quick access to Manage Sites and Visitor Groups
- People management moved into the People tab
- Fewer clicks for common admin tasks


Device and Kiosk management

Manage your Kiosk settings, devices, and QR settings per site in our site settings page which has a useful site selector to easily switch your view between sites. Many of these settings require the Kiosk device to be set to use the 'Portal settings'. This can be enabled within individual Kiosk local settings or forced on using the portal 'Local device management' option.

Some additional 'Device specific' settings are also available in the 'Devices & QR posters page :

- Manage branding, colors, images, and QR settings at site level
- “Use Portal Settings” keeps kiosks aligned with central configuration
- Site-specific branding where needed
- Changes sync in near real time
- Support for 38 languages

AI-powered features

Portal 2.0 brings AI into your everyday admin tasks, so setup and configuration take less time and less manual effort.

Key Highlights

- Auto-translate sign-in and sign-out fields into multiple languages (up to 38), with full control to review and edit (currently in beta)
- Ask questions in the portal and get instant, step-by-step guidance
- More AI-driven capabilities are planned, including smarter setup and configuration support.


What else has changed?

Along with the above we've made several other improvements so far, including:

Autosave - Changes now save automatically in many areas.

Dark mode - Adapts to your device or browser settings.

Mobile optimization - Fully responsive across tablets and different screen sizes.

And this is only the start of what's ahead.

Throughout the year, we'll continue expanding the platform with enhancements to the Sign In Companion experience, new intelligence capabilities, and powerful new workplace tools. That includes a digital employee in/out board, giving reception teams and shared spaces real-time visibility into workforce presence, and returning visitor recognition - creating faster, more seamless arrivals by recognizing visitors across your organization and eliminating repetitive data entry.
