Manage all aspects of your Sign In App account from one place, including subscription details, security settings, roles, portal users, and more.
To access your account settings, head to Manage in the top-left nav of the portal and select Account settings.
Details
The Details tab shows key information about your subscription and account.
Account Details
Change your account name and add or update your company logo.
Subscription details
From here you can view and modify your subscription details, including site subscriptions and paid add-ons.
By clicking Modify Subscription button you can manage:
Plan Type: Here you can see your current plan, and upgrade to other available plan options:
Sites: Increase your number of sites using the + below:

Invoices
Includes your Subscription ID, Invoice number, payment status and date of invoice as well as a downloadable copy of each invoice.
You can edit your payment method here by clicking Edit Payment details button. This syncs directly with Chargebee to update.
Account contacts
Add contacts here to receive billing and subscription communications. Clicking Add contact button opens the contact drawer where you can create a contact and select what type of account communications this contact should receive:
Billing contact - receives invoice and payment related emails
Subscription contact - receives subscription related emails
Account Security
The Account Security tab provides an overview of your password policy and security details across Sign In App.
Password Policy
From here, you can customise the settings to suit your own password policy requirements.
Password Expiry: By default, passwords never expire. You can edit this so they expire after 30, 60 or 90 days. Portal users will then be prompted to change their password after the time period you select.
Force re-authentication: If a portal user doesn't log out they won't be prompted to re-enter their password and enter their two factor authentication code. From here you can edit this to force re-authentication after 30, 60 or 90 days.
Prevent recently used passwords: Toggling this on will prevent portal users changing their password to any of their previous three most recent passwords.
Force two factor authentication: Toggling on force two factor authentication means that all portal users will be prompted to set up two factor authentication using an authenticator app such as Google authenticator.
Roles and Permissions
Roles and permissions allow you to view and configure the permissions of your portal user roles. There are two default roles, Standard and Administrator. Administrators have full portal access, across all Sites. Standard users have access to the Visit Timeline, and Evacuation report sections of the portal, but not to Manage. You can view the exact permissions available for standard users and administrators from this section of the portal.
In addition to default portal user roles, you can create custom roles giving you granular control over the access portal users have. To create a new role click ‘Add role’ and provide a role name. Then select the permissions you need for the role - these will be saved as they’re added.
Tip: By clicking 'Clone' under a default or custom role you can duplicate the role to give you a base level of permissions you can then further edit:
Changes save automatically. You can edit, clone, or delete a custom role at any time using the options under its name:
Important: When deleting a custom role, firstly ensure there are no portal users assigned to this role.
Portal users
The Portal users tab allows you to manage access, assign roles, and designate your Primary and Technical contacts as well as Billing users.
Adding a new portal user
To add a new portal user, follow the steps below:
Click Add user in the top-right corner.
Enter their name and email address.
Select a role and set their site access.
Choose whether to:
Assign them as a Technical contact -they’ll be notified about any failed automations, such as integration syncs
Assign them as a Billing user - which gives them access to invoice and payment related details
Enable device alerts - they’ll be notified if a device goes offline or comes back online
Click Add user – the person will receive a welcome email with a link to set their password.
Edit an existing portal user
To update a user’s details, single-click their name on the table to open the drawer and edit their information. Remember to click Save after making changes.

Changing your primary contact
Your primary contact is responsible for reviewing and accepting the terms and conditions and making purchases for the organisation. Please ensure the primary contact is correct and up to date. To change your primary contact, click the user name you would like to make the primary contact and select 'Make primary user'. You will then be asked to confirm this below:
Important: The primary user can only be changed by the existing primary user. If you are unable to access the existing primary user's account, please contact [email protected]
Audit Log
The audit log allows you to view when changes were made in your Sign In App account and who made those changes. You can filter entries by date, user, or action:
Date Range: When you open the Audit log, it will default to today’s date. Click the date dropdown to change the date. Click once to select the start date and click again to select the end date. Use the left and right arrows to move between months. You can also click the preset options on the left to view Today, Yesterday, Last 7 days, and Last 30 days.
Please Note: You can view a maximum of 31 days in the audit log at one time.
User Selection: Click the User button to filter the audit log results by specific portal users. The user will also be displayed when viewing the audit log without filtering for a specific user.
Tip: If the user is Unknown, this means that the action was completed by the system. For example, if you have an integrated group and members are deleted because they’ve been removed from the 3rd party system, the user will show as Unknown.
Action: Click the Action drop down to select one or more actions to filter by from the following list:
Creation - The creation of data, including members, groups, and sites
Update - The updating of settings or permissions
Deletion - The deletion of data, including members, groups, sites, and sign in history
Import - The importing of data, including members and pre-registrations
Export - The exporting of data, including reports and members
Sign out all - Using the Sign out all option on the Today screen
Tip: You can expand an audit log entry for more detail by clicking the arrow on the left-hand side of the entry:
Permissions: The Audit log permission is enabled for all Administrators and is not included in the Standard user permission level. You can add or remove the Audit log permission from any custom user roles by going to Manage>Account Settings>Roles and Permissions.
Important: The audit log shows information for all sites in your Sign In App account. Portal users with access to a subset of your sites will be able to see audit log records that may relate to sites they don’t have access to.
Referrals
Earn rewards when you refer someone new to Sign In App! The Referrals tab includes:
Your unique referral link (copy this or email it directly from the portal)
A history of invites you’ve sent
Your reward redemption history
My profile
To edit your profile, click Profile in the top right-hand corner of the portal and then select My profile:
From here, you can edit the following:
User Name - Edit your user name
User Email - Change the email address you use to log in with
Display Mode - Choose between light mode, dark mode, or auto
Password - Change your password
Two-Factor Authentication (2FA) - Set up and manage your 2FA
Changing your name or email
To change your name simply edit the name field and this will auto-save.
To change your email, click Change next to your email address to bring up the following drawer:
You will be required to enter your new email address along with your current password for security purposes. Once done, click Send verification which will send a verification email to your new email address. You will need to click Confirm email change within the email for your email address update to be complete.
Changing your password
We recommend you periodically update your Sign In App portal password to help keep your account secure. To change your password you will be required to enter your current password and then your new password. Your new password must meet the strength requirements as listed below:
Once done, click Change password. This will log you out of Sign In App where you can log back in using your new password.
Enable Two-Factor Authentication (2FA)
2FA is an extra layer of security that makes sure people trying to gain access to the Sign In App portal are who they say they are. With 2FA enabled, you will first be asked to log in with your email and password as usual. Then, instead of immediately gaining access, you will be required to provide another piece of information.
For Sign In App, we ask that you download and install a free 2FA app on your smartphone or desktop. Once this is set up, you can enter the code shown on the app when prompted. This 'soft-token' is valid for less than a minute. Because the code is generated and displayed on the same device, soft-tokens remove the chance of hacker interception.
2FA is optional, but we recommend you enable it for yourself and all of your portal users. To set up 2FA, select On under Two-Factor Authentication in your My profile page:
You will then be taken to the following screen. Follow the instructions to set up 2FA within your chosen authenticator. Once done, click Enable.
Once 2FA is enabled you will need to use your app each time you log in. You can disable 2FA at any time from this screen.
