The Online Portal - Advanced Notifications

Advanced notifications help you stay informed when specific events occur during the sign in process. Whether it's a rejected sign-in, a high site occupancy, or a visitor arriving out of hours, advanced notifications give you flexible control over when and how you're notified.


Accessing Advanced Notifications

To manage your advanced notifications, go to the Manage section in the top-left nav of the portal and select Advanced notifications from the drop-down menu.

At the top of the screen, you can filter notifications by a specific site or view all sites to see any advanced notifications available across sites.


Creating a New Notification

To add a new notification, click the New notification button.

Give your notification a name, and choose which site and group the notification applies to.

You can also select a trigger event, such as:

  • Visitor signed in

  • Visitor signed out

  • Rejected sign in

Notification Channels

You can then choose how the notification is delivered. Available channels include:

If using Slack or Teams, make sure the appropriate integrations are configured.

Advanced Conditions

Under Advanced conditions, you can apply filters to define when the notification should be sent. You can choose whether the notification is triggered when all or any of the selected conditions are met.

Examples of available conditions include:

  • Site occupancy

  • Visitor in time (when 'Sign In' is selected as a trigger)

  • Visitor out time (when 'Sign Out' is selected as a trigger)

Tip: If you have selected a specific group, you will also see that groups sign in/out fields, and profile-only fields available for selection.

You can also set up a notification based on Document expiry days. Please see here for more information!

For instance, you could set a condition on 'Any group' where:

  • Visitor in time is after 09:00AM

Alternatively, you could set a condition for a specific group to send a notification based on the answer of a selected sign-in field:

  • Do you have a photo ID with you today? = No

Recipients

Under the Recipients section:

  • Hosts will receive notifications if this option is enabled in the group settings > details tab

  • You can also add specific email addresses. Please ensure to separate multiple addresses with a comma.

  • You can enter a custom subject line for email notifications, though this is not required.

Click 'Add notification' once done to save.
