The Online Portal - Manage Sites

You can manage all your site settings in one place, including sign in preferences, fields and notices, group visibility, devices & QR posters and on-site reports. This guide walks you through each section of the site configuration area within the online portal.


Accessing Site Settings

To manage your sites, go to the Manage section in the top-left navigation of the online portal and click on Sites in the drop-down menu. Then, select the site you'd like to view or edit by clicking on its name.

Once you are in Site settings, you can switch between sites using the site selector at the top of the screen:


Site Details

Within the Details tab, you can update general site information:

  • Site name

  • Site address

  • Default language

Advanced Options

Expand the Advanced Options section to add a contact name and email address to receive site-specific notifications:

Group Visibility

This section allows you to define which groups are visible at the selected site.

  • Only selected groups will be able to sign into the site.

  • If a group is deselected, any visitors currently signed into the site from that group will be automatically signed out.

Mobile sign in

From here you can choose to allow sign in via Sign In Companion, and Set your geofence radius. For more information about setting this up, please see this guide.


Kiosk

The Kiosk tab is where you can configure various settings for your tablet.

Please Note: With Kiosk settings configured in the portal, you must ensure that you have the Use portal settings toggle turn on in your kiosk app. See here for further information.

Welcome screen

This is where you can configure your own branded welcome screen for the kiosk app - this is the first thing visitors and staff see when signing in, so we want to help you make sure this gives them a great first impression. A preview of how the welcome screen will display on your device updates as you add, remove or adjust various components. You can also view how logos display against both light and dark backgrounds.

To make any changes to the welcome screen display, select the component you wish to edit from the dropdown:

  • Buttons: Choose from Tap to start, Sign in & out, or No button.

  • Background Imagery: Upload background media to your kiosk. Supports .jpg and .png images (up to 20MB, at least 2048x1536px) and .mov or .mp4 videos (up to 50MB) If you need any help formatting your logo or design into the correct format for this backgound imagery, please contact the Sign In App team on [email protected] and we'll be happy to help.

  • Contactless Sign In: You can choose to display a dynamic QR code either in the top left or top right of your sign in screen. Please note that enabling this feature will turn it on at all sites.

  • Overlay: An overlay will display in front of the background image.

  • Language selector: Select your primary language as well as multiple languages from this list along with a chosen display icon - Country flag or Language icon

  • Clock: Choose whether to display a clock on your welcome screen.

  • Group shortcuts: Choose groups to show on the welcome screen. You can tick which groups to display as shortcuts and any group type is supported (Standard, Repeat, or Integrated) but please note there is a maximum of 3 group shortcuts on the welcome screen.

    Tip: If you are looking for a way to quickly sign in/out multiple group members at the same time, the Group Shortcuts setting can work alongside the Show and return to full list (Kiosk only) option under Data & Privacy for a group.

  • Night mode: Night mode can be enabled within a specified start and end time

You can also choose to set your device setting on either 'Light mode' or 'Dark mode'. If you want to just go with whatever the local device setting already is, you can select 'System'.

QR code scanner

Select the check box to enable kiosk camera to scan visitor QR codes:

Accent colour (available for Enhanced and above)

Select a brand accent colour, for buttons and highlights to appear on kiosk and contactless sign in. You will see examples of this presented in light mode and dark mode. Reset button returns the colours to the SIA default green.

Display settings

Here you can select how you'd like your sign-in fields to display. 'Single field' will display one field at a time for a visitor to fill out. 'All fields' will show all sign in fields on one screen.

You will also see an option to display evacuation points, and the host signed in/out status to visitors. If you have selected to display the hosts status you can choose between:

  • Show a full list of hosts

  • Auto-complete name match

  • Require exact name match

Confirmation screen

Configure your confirmation screen based on what you would like to show. You can choose to display the time and date on the confirmation screen, and/or enable spoken sign in and out messages:

Note: If you are on an Enhanced or Pro plan, you will also see an option to Hide Sign In App logo from your confirmation screen:

Local Device Management

Selecting this will allow you to manage kiosks on the device, rather than using the kiosk settings page. Note that changes on the device will not be synced back to the portal if you have this selected.

Time & attendance

If you’d like repeat visitors to be able to update their activity status from the kiosk app and have the Use portal settings toggle on within the kiosk app, you can select the option below :

Alternatively if you are managing kiosk settings within the app, here is how to make this change within the apps settings.


Sign In & Out flow

The Sign in & Out flow tab allows you to customise the fields and notices that visitors will encounter at a particular site for a particular group. The categories include:

  • Sign in Fields

  • Sign In Notices

  • Sign Out Fields

For this tab, you can view the settings across All Groups that are visible at the Site, or you can filter down the view to a particular Group and view only the information pertaining to this group signing in at this site.

Sign In and Sign Out Fields

To add the sign-in/out fields, click their corresponding Add button on the right side of the page.

You will then have the option to add from field library, or create new.

Add from field library

When Add from field library is selected, you can search for a field name or select your chosen field from the dropdown presented:

When Create new is selected, you will be presented with the following options to configure your field.

Add the Field Label which will be displayed for your visitor. Then, select field type - the options available are:

  • Text

  • Checkboxes

  • Date

  • Dropdown

  • Dropdown with Other

  • Email

  • Notify list

  • Number

  • Phone number

  • Photo (eg. ID)

  • Signature

  • Uppercase

  • URL

  • Yes/No

If choosing Checkboxes, Dropdown, or Dropdown with Other, you must also add visitor selections by clicking the Add Option button below the field label and typing your choices (see screenshot below)

The Dropdown field types also let you choose which of your options will be the default if required.

Additionally, Dropdown and Dropdown with Other allows you to auto-reject a sign-in based on an answer. Click the Reject Sign In Based On Answer checkbox and enter your rejection answer and message:

All fields have an option to be marked as required, and displayed in other parts of the portal:

If you select Host notifications, this field's response will be displayed in these, Evacuation list means the field will be shown alongside the visitor name in the Evacuation list, and PDF copies of Notices means the response will be displayed there too.

Finally, you can select which group(s) the field should apply to. Once you are happy with your selection, click Add Field:

Sign In Notices

Sign In Notices allows you to attach a file (max 50mb) that your visitor will encounter during the sign-in process. Supported file types include:

  • Images

  • PDFs

  • docx

  • doc

  • xlsx

  • xls

  • ppt

Click the Add Notice button on the right-side of the page:

Then, add your title, type a message and/or attach a file:

In addition to displaying the notice, choose if an action is required for the visitor to continue. Options include:

  • No action required

  • Optional - Checkbox that can be optionally ticked

  • Agreement required - Checkbox that must be ticked

  • Agreement required - Signature must be provided

  • Complete a quiz (available on Enhanced and above subscription)

You can also select when to re-display the notice. Options include:

  • When notice is updated

  • Every sign in

  • After set time periods - you can see the various options displayed for this in the drop down

You can choose to auto-generate AI translations in your chosen language(s) to display your Notices to visitors in other languages.

Lastly, select which group(s) this notice applies to, and click 'Add notice' to save your selections.

Capture Sign In Photo

Further down the page, you can:

  • Enable photo capture at sign in - this sets the default for the Site, you can then edit this setting further per group in the Group Settings > Advanced in & out tab

Print Visitor Badge

By default the visitor badge will be printed using 54mm media. To change this, select 'Change Badge':

This will take you to the badge library, where you can edit the media size and badge layout:

Once you are happy with your selection, click 'Save'.

Tip: To customise photo or badge settings for a specific group, go to Visitor Groups > Advanced in & out. Please see this guide for further details.


Devices and QR Posters

Devices

The Devices & QR Posters tab will show all devices connected to the current site.

Add a device

You can add as many devices as required to each site. To add a new device, first generate an authorisation code.

Generating an authorisation code

Under the Devices & QR Posters tab on your site settings, click Connect new device:

A window will appear with your code:

Download Sign In App Visitor Management from the Apple or Google Play store and enter the device code to connect it to your portal. The device will instantly appear on your devices list on the Sign In App portal. Your device is now connected.

Warning: If the authorisation code isn't recognised, it may be due to internet connection issues.

Device status

Once your device has been connected you will see the device appear on the sites 'Devices' list. A green tick indicates that the device is online:

Editing a device

By clicking on the device name, this will open the device editor. Here you can view and edit under the following tabs:

Details

  • Device name (editable)

  • Device information including App version, OS version, Device, Last checked in, and Date added (view only)

  • Actions - Disconnect device

Settings (editable)

  • Enable status alerts on this device

  • Enable a security pin for config access

  • Groups Visible - Edit which group(s) should be able to sign in on the device

History

  • Checklist - Shows when the device was last checked as online or offline, battery charge, whether the app is up to date, and average request time

  • Device history

Remove a device

To disconnect a device, click the device name to open the editor, and then select 'Disconnect Device'. On the warning dialog click OK if you are sure you want to remove the device. To reconnect, you will need to generate a new authorisation code and enter it on the device.

QR code sign in posters

QR Posters are static QR codes that let visitors sign in using their mobile device. They simply scan the QR code, complete the sign-in steps, and proceed. They can use the same code to sign-out on their device also.

To create a new poster, click the Devices & QR Posters tab from your site settings, then select Add new poster.

From here you can add:

  • Name of Poster

  • Instructions: For example, what to do once signed in

  • Available to groups: Choose which group(s) this poster should be available to

  • Advanced Settings: Hide Host List - Protects privacy of hosts when visitors scan a static QR code.

After creating your QR sign in poster, you can download it by clicking the QR Code or Poster option under the download column.

QR Code downloads only an image of the QR Code. Poster downloads a PDF with some additional messaging (see screenshot below).

After scanning the QR code on their mobile device, the visitor will be brought to a screen that looks like this:



Evacuation setup

Evacuation setup allow you to group together people on your evacuation list for the purposes of a roll call. Each site can have unlimited evacuation points which can be configured from this screen.

Adding an evacuation point

To add an evacuation point, click Add evacuation point:

You will then need to add the name of your evacuation point, and a letter or number to identify your evacuation point:

Map (Optional)

You also have the option to add a location and photo to your evacuation point. You can search for a location (by postcode or company name) using the search field which will generate a map, this allows you to specify the exact location of the fire point. Drag and drop the red pin to the relevant location.

Tip: You can switch the view between 'Map' and 'Satellite' using the dropdown in the top left hand corner of the map.

Photo (Optional)

Uploading a photo via 'Upload image' allows you to attach your own map as an image, a photo of the sign identifying the evacuation point or the location of the evacuation point itself.

Tip: To enable evacuation point photos and maps to display as part of the visitor sign in process you need to turn the option on in the Kiosk settings tab under Display settings heading.

Use for groups (Optional)

Lastly, you can choose to select which groups should use the evacuation point:

Please Note: To avoid confusion during an evacuation, you can select only one evacuation point for a group. Once the group has been assigned an evacuation point, the group will then not be selectable on any further evacuation points added.

If a group is not visible for the selected site, it will not be shown in the list. Please see Group Visibility for further information.

If a group doesn't have an evacuation point, you will see a warning on this page. Please note that they will still show on the Evacuation list under 'All evacuation points'

Editing or deleting an evacuation point

You can edit an evacuation point by clicking the name of the evacuation point to open the editor, where all properties can be updated.

To delete an evacuation point, scroll down to the bottom of the editor and select Delete evacuation point. On the warning dialog click Delete if you are sure you want to delete the Evacuation point. This cannot be undone.


On-Site report

The last tab in the Sites section allows you to schedule a time to send an email report of who is still signed in. This is handy for site managers or reception teams to know who is still in the building at a certain time.

Click the New report button on the right side of the screen.


Then, choose the time and email address of your recipients. Multiple recipients must be separated by a comma.

You can also select specific sign in fields to display in this report as well by clicking on the dropdown and selecting any you would like to see.

Once you are happy with your selections, click Add Report.

Lastly, click the Continue sending the report when no one is signed in checkbox if you'd still like to alert your team even if there is no one still onsite.
