Highlights
Most of this window went back into Outlook synchronisation, and specifically into rooms staying attached to the meetings they were booked on. We have closed two separate ways in which a room could be removed from a meeting by synchronisation alone, and a third in which a meeting sent through again after a calendar reconnected could dismantle the booking that already existed. Ending a Display meeting early no longer sends a revised invitation to every attendee, which is a change several customers asked us for directly. Also on Display, room panels using the Orion template render correctly again on older hardware, and there is the usual set of corrections across the booking flow, reporting and administration.
Rooms stay on the meeting
Where the previous release cycle focussed on the reasons a whole booking could disappear, this one closes the reasons a single room could for Planner Only Room bookings.
What this means for your organisation
Multi-room meetings survive synchronisation: a meeting booked with several rooms keeps all of them, whatever wording the Outlook location carries.
An unreadable location changes nothing: where the rooms cannot be identified, the booking is left alone.
A reconnecting calendar cannot cancel your rooms: a meeting re-sent after a subscription is restored is matched to the booking that already exists, rather than competing with it.
Ending a meeting early, without telling everyone
When a meeting finished early and was ended from Planner or from the room panel - Outlook sent a revised invitation to every internal and external attendee, carrying an end time that had already passed.
The room becomes bookable straight away, the organiser's meeting keeps its original times, attendee responses are preserved, and no revised invitation goes out. When the meeting is ended at the panel, the organiser receives a single notification that the room is released and no other attendee is contacted. Planner's own record — reports, history and billing — reflects the time the meeting actually used.
Deleting a meeting that has already started
Deleting a meeting that is already running is now treated as ending it now rather than erasing it. The meeting stays on record and ends at the moment the action is taken, with the room keeping the time it actually used. On a meeting that came from Outlook, only the room booking is shortened — the meeting keeps its original times so that it continues to match the Outlook appointment.
Bookings on the meeting are treated according to their ordering deadline. Anything already prepared or delivered, or past its deadline, is kept. Catering and equipment not yet delivered are cancelled automatically, and the booking update email lists what changed.
On the calendar and on the Bookings page, the action offered on a running meeting now reads End now rather than Delete.

Booking & Synchronisation
Recurring Deletions: Cancelling a recurring series in Outlook now reaches Planner as soon as the deletion has been verified, instead of waiting for a synchronisation run to finish without interruption. [PHO-382]
All-Day Rebooking: A room released earlier the same day no longer declines a new all-day request on the grounds that its start time is in the past. [PHO-388]
All-Day Conversion: Changing a multi-location meeting from all-day to a specific time no longer removes its Planner rooms. [PHO-298]
Series Confirmations: The recurring booking confirmation email now reports only the rooms that were actually declined. [PHO-350]
Catering & Equipment
Delivery Time: The delivery place and its delivery-time list now stay on screen while the catering page reloads, with a loading indicator in place of the section disappearing. [PHO-366]
Display
Panel Rendering: Room panels using the Orion template render correctly again on older panel hardware, in place of a white screen. [BAM-647]
All-Day Meetings: An all-day meeting can no longer be extended from a panel past the end of its day. [PHO-336]
Tag Filtering: Importing a new room no longer removes the remaining location tags from the Room Booking Panels search filter. [PHO-340]
Room Import: Room synchronisation now stops and reports when the room list returned by the data source is incomplete, rather than acting on a partial list. [BAM-602]
Administrative & API
Companies: A company can now be created with the same name as one that was previously deleted. [PHO-376]
Scheduled Reports: Scheduled reports now open in the editor instead of returning a server error. [PHO-386]
Data Export: Special characters and line breaks in booking notes no longer shift the row structure of the Excel export. [PHO-378]
Microsoft Consent: Connecting Planner to Microsoft 365 now reports the outcome on the page it was started from — connected, cancelled, or signed in with an account belonging to another tenant — instead of a blank page or raw error text. [PHO-335]
UI/UX & Reporting
Meeting Places: Meeting, delivery and pickup places are now listed alphabetically in the New Booking Experience and the Outlook add-in. [PHO-375]
Approval: The booking status dropdown on the Bookings page is no longer clipped by the table, so Approve can be selected with the mouse. [PHO-371]
Permissions: A facility manager without administrator rights can now open and edit a panel-created booking from the Scheduling Assistant. [PHO-334]
Validation Language: Validation messages now follow the chosen display language rather than the regional format. [PHO-344]
